Privacy Policy

NovoMeet is a meeting assistant operated by NovoLink. It joins meetings on your instruction, transcribes what is said, and writes notes you can search. Doing that means handling recordings of conversations, other people's as well as your own, so this policy is specific about what we take, what we do with it, and how you get rid of it.
1.Information we collect
Account information. When you sign in with Google we receive your name, email address, and profile picture. We use this to identify your workspace and to attribute meetings to you. We never receive your Google password.
Calendar information. If you connect your calendar, we request access to your calendar events. We read event titles, times, organiser and attendee email addresses, and meeting join links, so that NovoMeet knows which meetings exist and how to join them. For a Google Meet event NovoMeet is set to attend, whether you organise it or were invited to it, we also add the NovoMeet notetaker to that event's guest list, so the assistant is admitted as an invited participant instead of waiting for the host to let it in. The host stays in control: Google itself refuses the addition unless the organiser allows guests to invite others, and we do not attempt it at all when the organiser has hidden the guest list. A refusal simply means the notetaker knocks for admission as it otherwise would. Every meeting we sync appears in your dashboard with a switch for whether NovoMeet should attend. It is on by default once you connect your calendar, and you can switch off any meeting individually. We make no change at all to a meeting you have switched off. Adding the notetaker to the guest list is the only change we ever make to your calendar. We never create, delete, or reschedule events, never alter event titles, descriptions, or times, and never remove a guest. We add only the notetaker, only to Google Meet events, and only ever one attendee. Your other guests are not emailed about the addition.
Meeting content. When NovoMeet attends a meeting it captures the meeting audio and produces a transcript, speaker labels, and an AI-written summary. Where the meeting platform provides them, this may include participant names and screen-shared slides.
Service data. Logs of requests to the service, including IP address, timestamps, and error diagnostics, kept for security and debugging.
2.How we use Google user data
NovoMeet's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, calendar data obtained through Google APIs is used only to:
- show you your upcoming and past meetings inside NovoMeet;
- determine which meetings NovoMeet should join, and when;
- add the NovoMeet notetaker to the guest list of Google Meet events you have left switched on, so it is admitted without the host having to stop and let it in;
- attach a transcript and notes to the correct meeting.
Calendar data obtained through Google APIs is never sent to an AI model or to any third-party AI service. It is used only for the purposes listed above. We do not sell Google user data, do not use it for advertising, and do not use it, in raw, aggregated, or derived form, to develop, improve, or train generalised AI or machine-learning models. Humans do not read your Google user data except where you explicitly ask us to for support, where required by law, or where necessary to investigate abuse or a security incident.
3.Recording, and the consent that is yours to obtain
NovoMeet joins meetings as a visible participant, and it does not hide its presence. Once you connect your calendar it is set to attend your meetings by default, and it does not attend a meeting you have switched off.
Recording laws differ by country and by state, and in many places every participant must be informed or must consent. Obtaining that consent is your responsibility, not ours. By instructing NovoMeet to join a meeting you confirm you have the right to record it and to have it transcribed.
Any participant may ask us to delete a recording or transcript of a meeting they were part of. Write to the address in section 10 and we will act on it.
4.AI processing
Transcription and summarisation are performed by automated systems, and they see only meeting content. Speech-to-text is performed by Groq, running the open-source Whisper model, which receives the meeting audio and returns a transcript. Summaries are written by Anthropic Claude models, reached through the OpenRouter gateway. All three act as our processors and receive meeting content solely to return a result to us.
No Google user data reaches either system. Your calendar is read to decide which meetings to attend, and that is where its involvement ends. What is sent for summarisation is the transcript of the meeting itself.
We contract with these providers on terms that prohibit them from using your content to train their models. We do not use your meeting content to train our own models, and we do not permit anyone else to use it to train theirs.
5.Sharing
We do not sell your data. We disclose it only:
- to people you share a meeting or its notes with;
- to infrastructure and model providers processing data on our behalf;
- where required by law, and where we can, after telling you;
- to protect the rights or safety of users or the public.
6.Retention
Meeting recordings, transcripts, and notes are kept until you delete them or close your account. Deleting a meeting removes its transcript and notes from your workspace immediately and from our backups within 30 days.
Disconnecting your calendar stops further reads at once and removes the stored calendar data. Service logs are retained for up to 90 days.
7.Security
Data is encrypted in transit and at rest. Access to production systems is restricted to personnel who need it and is logged. No system is perfectly secure; if a breach affects your data we will notify you as required by applicable law.
8.Your choices and rights
You can disconnect your calendar at any time in Settings, or revoke NovoMeet's access directly from your Google account permissions. You can delete individual meetings, or ask us to delete your account and everything in it.
Depending on where you live you may have rights to access, correct, export, or erase your personal data, and to object to certain processing. Write to us and we will honour them.
9.Children
NovoMeet is not intended for anyone under 16, and we do not knowingly collect their data.
